Pinehurst Property ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect, how we use it, the lawful bases we rely on, how long we keep it, and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).


Who we are

The data we collect

Information you give us — when you complete our contact form or book a call, we collect your name, company name, email address, phone number, the service you are interested in, your budget range, how you heard about us, and anything you include in your message.
Information we collect automatically — when you visit our website we may collect technical data such as your IP address, browser and device type, and the pages you view, through cookies and similar technologies (see "Cookies" below).
We do not knowingly collect personal data from children, and we do not collect special category data through our website.


How we use your data and our lawful basis

Where we rely on legitimate interests, we have considered your rights and will not use your data in ways you would not reasonably expect. We do not sell your personal data, and we do not use it for automated decision-making producing legal or similarly significant effects.


Who we share it with

We share personal data only with service providers ("processors") who act on our instructions, and only as far as needed to run our business. These currently include:

  • Framer — website hosting

  • Calendly — call scheduling and bookings

  • <email/CRM provider, e.g. Google Workspace / HubSpot> — email and customer relationship management

We may also disclose personal data where required by law, or to establish, exercise or defend legal claims. Some providers may process data outside the UK; where that happens we ensure appropriate safeguards are in place (such as UK adequacy regulations or the International Data Transfer Agreement / UK Addendum to the EU SCCs).


How long we keep it

  • Enquiry and contact-form data — kept while we deal with your enquiry and for a reasonable period afterwards, then deleted, unless you become a client. <founder to confirm enquiry retention period, e.g. 12–24 months>

  • Client project data — kept for the duration of the engagement and afterwards as needed to meet legal, tax, accounting and professional-indemnity requirements (generally at least six years).


Your rights

Under UK data protection law you have the right to: access a copy of your data; correct inaccurate or incomplete data; erase your data; restrict or object to our processing; data portability; and withdraw consent at any time where we rely on consent (this does not affect processing before withdrawal). To exercise any of these, email connect@pinehurstproperty.co.uk. We will respond within one month (extendable by up to two further months for complex requests, which we will tell you about within the first month). Exercising your rights is free in most cases.

We use cookies and similar technologies to make our website work and understand how it is used: essential cookies (no consent required), analytics/performance cookies (non-essential), and functionality cookies (non-essential).
